What they do not yet have is a clear picture of what it takes to make that vision real, what it genuinely costs, and why planning a destination wedding in a foreign country requires a fundamentally different level of expertise than booking a venue in your hometown.

This guide is what we share with prospective couples before they sign anything. It covers real numbers, non-negotiable logistics, legal requirements most couples have never heard of, and the reasoning behind every line item in a Cdn$125,000–$150,000+ Tuscan celebration.

Our job is not just to manage logistics. It is to protect a $125,000+ investment in a foreign country, across cultures and currencies, so that on the day itself, our couples feel nothing but completely present.

The goal is not to overwhelm. It is to give our couples the information they need to move forward with complete confidence, knowing precisely what they are investing in and why every figure on the budget sheet is there.

What our clients are actually buying when they choose Italy

Before we talk numbers, it is worth being clear about what Italy is selling, because when you understand the value, you will hold your budget more confidently. It will be far easier to guide you through the 18 months of endless decisions that follow your engagement.

Italy offers something no event venue in North America or the UK can replicate: the accumulated beauty of 800 years.

When our destination couples marry at a wine estate that has been in the same family since the 14th century, or in a courtyard where the stone walls predate the Renaissance, they are not renting a space; they are living in real history, beauty in its own.

3 realities of a Tuscany wedding that we want our clients to know about before booking

Photography by Paula Visco

  1. Italian venue pricing is rarely what it seems. Between what's included, preferred caterer minimums, and fine-print costs, the real number can look very different from what's on the website. We go through all of it before you get your heart set on a space.

  2. The multi-day format is standard in Italy and beloved by every guest who has experienced it: a welcome dinner the evening before, the wedding day itself, and a morning-after brunch or pool party. We present this as the default. Couples who compress the celebration into a single day almost always wish, in retrospect, that it was longer.

  3. Italian vendors are highly skilled and have their own way of doing things, following their own schedules and communicating in their language. This is one of the best reasons for couples to hire a wedding planner who understands the nuances of planning a wedding the Italian way.

Wedding Budget Breakdown: What a 50 Guest Tuscany Wedding Actually Costs

When couples begin planning with concrete numbers, the picture becomes clearer, and the decisions become easier. Here is what a Tuscan wedding with 50 guests realistically costs, broken down by category, with the reasoning behind each figure.

Venue Rental: $15,000 – $20,000

Food and Beverage: $25,000+

This fee secures the property for the wedding day only. The venue rental covers access to the grounds, ceremony space, and reception areas.

When you have a multi-day celebration with a welcome dinner, and farewell brunch, additional venue fees can apply. It’s good to budget between $3000-8000 for the 2 additional location fees. Catering, staffing, furniture, and linens are typically not included and must be booked separately.

The variation between $15,000 and $20,000 depends on the property's prestige, location, proximity to major airports, on-site accommodation availability, and the specific season you select. Off-season months (November-April) fall toward the lower end; peak months (July, August, and September) command higher rates.

For fifty guests expect to invest a minimum of $25,000 for catering on your wedding day. This breaks down to roughly $500 per person, depending on the menu's complexity, wine pairings, and whether you are working with the venue's preferred caterer or bringing in an outside team.

Premium wine selections and cocktail service can increase this cost significantly.

Catering for additional events is typically estimated at $5,000–$10,000, depending on the guest experience envisioned. A formal seated dinner will fall toward the higher end of the range, while a more relaxed cocktail-style or buffet experience offers greater flexibility in budget.

A professional wedding photography team covering the entire multi-day celebrations, welcome dinner through morning-after brunch, with full coverage of the ceremony and reception, typically ranges from $12,000 to $18,000, depending on the photographer's experience level and whether they provide a second shooter.

The fee typically includes pre-wedding consultations, a detailed shot list, and delivery of 800–1,200 final images within a specified timeframe. If you are including a videographer, you can expect this cost to be closer to $25,000+.

Florals and Decor: $20,000+

Flowers for both the ceremony and reception, bridal bouquet, ceremony arrangements, table centrepieces, installation florals, and ambient decor start at $20,000 for a fifty-guest celebration and scale upward depending on complexity, the seasonality of blooms, and the overall design vision.

A Tuscan wedding that leverages the natural beauty of the landscape (cypress trees, stone walls, rolling hills at sunset) can operate at the lower end of this range, while a couple who wants lush, garden-style arrangements or imported seasonal blooms will be higher.

The investment reflects both the floral elements themselves, as well as the design expertise, installation, and breakdown required to bring your wedding vision to life. For any additional events, separate floral costs would apply, and we typically recommend budgeting between $5,000–$10,000+, depending on the scale, complexity, and overall level of luxury desired for the design.

Before You Book: The Venue Criteria That Will Shape Your Entire Wedding Experience

Photography by Moments Collective

When couples begin a Tuscany venue search, the first challenge is never finding beautiful properties. The challenge is making a strategic decision between beautiful options before emotion takes over completely.

At Claudia and Co., we use a weighted criteria framework on every venue search, and the weighting shifts depending on what a specific couple genuinely cares about.

For a family bringing 40 guests from North America who need to arrive direct into Florence, location access matters more than it does for a couple whose entire guest list is European.

For a couple who wants to dance until 2 AM, the venue noise ordinance is not a fine-print issue. It is a deciding factor.

These are the six criteria we evaluate on every search for our couples' perfect venue in their price range.

30% Cost

The rental fee is only the beginning. What's included, what's extra, catering minimums, and the hidden costs tucked into the contract can all have a major impact on your final budget. Tuscan venue rental fees range from roughly $15,000 and $20,000 and rarely include catering, staffing, or furniture upgrades.

30% Location

Proximity to the nearest major airports (Rome, Milan, Venice, etc.), ease and cost of guest transfers, and the visual character of the landscape.

Ninety minutes of travel in a comfortable vehicle is acceptable, but three hours is not particularly suitable for guests who have already travelled internationally to be there.

15% Timing and Availability

July and September are peak months in Tuscany. The most sought-after venues book 18 to 24 months in advance for these dates. The best properties go first, and they do not negotiate on deposit terms or hold dates for undecided couples.

10% Inclusions

Does the venue mandate a preferred caterer list? Is there accommodation onsite? Are setup and breakdown windows generous enough to support the event timeline? These details represent significant cost variance and can reshape the entire day's logistics.

10% Restrictions

Sound ordinances, music curfews, candle and open-flame policies, minimum spends, exclusive supplier lists, and guest caps vary significantly across properties. These are reviewed before any client ever falls in love with a space they cannot actually use the way they want to.

5% Layout and Flow

Can the ceremony, cocktail hour, and reception each occupy a distinct space with a natural transition between them? Does the property create a sense of journey through the evening? Does the venue photograph beautifully at both golden hour and by candlelight in the evening?

The Italian music licence is required

Harpist: @denisefungmusic | Wedding Planning and Design: @claudiaandco_

This is the detail that catches self-planning couples off guard every time, and the one that, when we raise it unprompted in an initial consultation, communicates immediately to a prospective client that they are speaking to someone who actually knows how Italy works.

SIAE, the Società Italiana degli Autori ed Editori, is the Italian governing body for music royalties. Any event in Italy where music is played requires a paid licence. This applies to every musical moment across the entire celebration: the string quartet during the ceremony, the DJ set at the after-party, the band playing over dinner, the playlist through the speakers during aperitivo, and even background music at the morning-after brunch by the pool. If music plays anywhere at the event, a licence is required.

The cost is small relative to the total wedding budget. What matters is that the venue will ask for confirmation of the licence before the event, and that your professional DJ and band will not perform without knowing it is in place.

Applications are completed online at siae.it with the venue address, event date, and guest count. Allow at least four weeks.

If you are working with us, this is on our checklist and handled.
