The multi-day format is standard in Italy and beloved by every guest who has experienced it: a welcome dinner the evening before, the wedding day itself, and a morning-after brunch or pool party. We present this as the default. Couples who compress the celebration into a single day almost always wish, in retrospect, that it was longer.
Italian vendors are highly skilled and have their own way of doing things, following their own schedules and communicating in their language. This is one of the best reasons for couples to hire a wedding planner who understands the nuances of planning a wedding the Italian way.

Hiring an experienced destination wedding planner, one who has the vendor relationships, understands Italian logistics, manages timelines across time zones, and is physically present during your events with a team, costs between $30,000 and $40,000. This fee includes the planner's travel to Italy for pre-event site visits, final walkthrough, and on-site coordination throughout the celebration.
It covers the expertise required to navigate Italian wedding law, vendor management, guest communication, budget oversight, and crisis management.

At Claudia and Co., we use a weighted criteria framework on every venue search, and the weighting shifts depending on what a specific couple genuinely cares about.
For a family bringing 40 guests from North America who need to arrive direct into Florence, location access matters more than it does for a couple whose entire guest list is European.
For a couple who wants to dance until 2 AM, the venue noise ordinance is not a fine-print issue. It is a deciding factor.
These are the six criteria we evaluate on every search for our couples' perfect venue in their price range.
30% Cost
The rental fee is only the beginning. What's included, what's extra, catering minimums, and the hidden costs tucked into the contract can all have a major impact on your final budget. Tuscan venue rental fees range from roughly $15,000 and $20,000 and rarely include catering, staffing, or furniture upgrades.
30% Location
Proximity to the nearest major airports (Rome, Milan, Venice, etc.), ease and cost of guest transfers, and the visual character of the landscape.

15% Timing and Availability
July and September are peak months in Tuscany. The most sought-after venues book 18 to 24 months in advance for these dates. The best properties go first, and they do not negotiate on deposit terms or hold dates for undecided couples.

Does the venue mandate a preferred caterer list? Is there accommodation onsite? Are setup and breakdown windows generous enough to support the event timeline? These details represent significant cost variance and can reshape the entire day's logistics.
10% Restrictions
Sound ordinances, music curfews, candle and open-flame policies, minimum spends, exclusive supplier lists, and guest caps vary significantly across properties. These are reviewed before any client ever falls in love with a space they cannot actually use the way they want to.
5% Layout and Flow
Can the ceremony, cocktail hour, and reception each occupy a distinct space with a natural transition between them? Does the property create a sense of journey through the evening? Does the venue photograph beautifully at both golden hour and by candlelight in the evening?

This is the detail that catches self-planning couples off guard every time, and the one that, when we raise it unprompted in an initial consultation, communicates immediately to a prospective client that they are speaking to someone who actually knows how Italy works.
SIAE, the Società Italiana degli Autori ed Editori, is the Italian governing body for music royalties. Any event in Italy where music is played requires a paid licence. This applies to every musical moment across the entire celebration: the string quartet during the ceremony, the DJ set at the after-party, the band playing over dinner, the playlist through the speakers during aperitivo, and even background music at the morning-after brunch by the pool. If music plays anywhere at the event, a licence is required.
The cost is small relative to the total wedding budget. What matters is that the venue will ask for confirmation of the licence before the event, and that your professional DJ and band will not perform without knowing it is in place.
Applications are completed online at siae.it with the venue address, event date, and guest count. Allow at least four weeks.
